Access times: Tenants should be aware of the access times for the building or their own space. Some buildings may have restricted access times, such as evenings or weekends, and tenants may need to arrange access in advance.
Lost or stolen FOBs: Tenants should know what to do if their FOB is lost or stolen. This may include reporting the loss to the building owner or management company and requesting a replacement FOB.
Security measures: Tenants should be aware of any security measures in place for the building, such as CCTV cameras or security personnel. They should also be familiar with any emergency procedures, such as what to do in the event of a fire or other emergency.
By understanding FOBs and access arrangements, tenants can ensure that they are able to access their space within the building and that they are able to do so safely and securely.
If you lose your FOB for the building, you should report the loss to the building owner or management company as soon as possible. They may be able to deactivate the lost FOB to prevent unauthorised access and provide you with a replacement FOB.
Here are some steps to take if you lose your FOB:
Contact the building owner or management company: Let them know that you have lost your FOB and ask what steps you need to take to obtain a replacement.
Deactivate the lost FOB: If the building owner or management company is able to deactivate the lost FOB, they will do so to prevent unauthorised access.
Obtain a replacement FOB: The building owner or management company will likely provide you with a replacement FOB. They may have a process for obtaining a replacement, such as completing a form or providing identification.
Test the replacement FOB: Once you have received the replacement FOB, test it to make sure that it is working properly and that you are able to access the building or your space.
By reporting the loss of your FOB and obtaining a replacement, you can ensure that you are able to access the building or your space safely and securely.

This agreement outlines the responsibilities I have as a holder of the Victoria Hall Door Access FOB. My acceptance of this agreement indicates that I have read and understood the below, and agree to adhere to the protocol and procedures established for Door Access.
The Door Access FOB is intended to facilitate the entry to electronically access-controlled offices and rooms on The Victoria Hall premises. I agree to follow all policies and procedures relating to door access that I'm provided with.
I understand that the Door Access FOB is issued in my name as the sole authorised person for access to the appropriate areas of the building. I will not allow any other to use my FOB. I understand that I should not open the door for others that do not have their own FOB, but rather direct the person to The Foundry team for assistance. Unless they are in your group and you are happy to let them into the building and be responsible for them in the building.
I understand that I must wear a FOB to gain entry into areas of the building and that (in time) we will have badges as well that will need to be displayed.
I will not prop open doors as this will activate a security alert.
I will not punch holes in the ID card, attach or affix any pins or decorations to the card, bend the card, or wash the card as it may render the card inoperable. FOBS are not waterproof and will be damaged if mistreated. You will be held responsible for this damage.
I understand that cards should not be left unattended on desks, near door locks, or carried in such a manner as to be susceptible to loss or theft.
I understand that upon termination of employment, contract, or volunteer services, the FOB must be returned to The Foundry Sheffield or to the person who was assigned responsible for ensuring that the FOB is retained before the person leaves Victoria Hall premises.
I understand that I must immediately notify The Foundry Sheffield if my FOB is lost, missing, stolen or damaged.
I understand that there is a fee of £9.00 to replace a lost, missing or damaged FOB. If the card is stolen and a police report is filed and produced, then there will be no charge.
If the FOB is stolen, lost or damaged due to the negligence of the person, then the £9.00 charge to replace the FOB will apply.
The Door Access FOB remains the property of The Foundry Sheffield at all times.
The Foundry Sheffield reserves the right to withdraw from an individual, any or all of the facilities of the FOB and request that the FOB be surrendered, if evidence is found that the FOB is being misused in any way.
Any unauthorised use will result in confiscation.
The Foundry Sheffield reserves the right to withdraw all Door Access FOBS, suspend some or all of the facilities or replace the FOB with one or more alternatives, without prior notice.
I am happy to provide a picture or have one taken that will be used in the event on an emergency - this will be shared with emergency services and be present on an ID card.

Overall, ID badges are an important tool in maintaining the safety, security, and accountability of a shared building. They provide a simple and effective way to verify the identity of individuals and ensure that only authorised persons are allowed access to the building and its facilities.

Conditions of Use
These keys are issued to you under the following conditions:
-You shall not have any copies made from this key.
-You shall not lend or let anyone else this key ( unless agreed with Building management that this can be a shared key )
-When the key signee leaves their role or position, they must return the key and have the key signed back in. If the key is to be reused a new sheet must be filled out.
-You or the organisation must keep the keys safe and secure, and if they are lost you may be asked to cover the cost of replacement keys or cost of changed locks.
-Understood, seen and will follow safeguarding policy.
-Understood, seen and will follow health and safety policy, security policy, and understand the role of risk assessments in running safe events.
-Understood the role for evacuation and acting as fire warden for events or for the room that you open.
-Understand that when locking up you are responsible for securing the room or building.
-Not complying with the above measures might result in losing the rights to being a key holder at The Foundry's discretion.
-That you have read and agree to follow The Foundry safeguarding policy.
